Our language school in Heidelberg

What are the opening hours, school hours, holidays?

The opening hours of the administration are: Monday-Friday: 07:30-19:00 (Saturday: 10:00-16:00).
Regular school hours: Monday-Friday: 07:15-20:00; Saturday: 10:00-16:00. Lessons outside these times are possible on request, but we charge an additional 25%.
School Holidays: The intensive courses and private lessons are offered all year round, a "holiday" can be requested individually. Participants of the evening courses have holidays from 25.12.2023 to 01.01.2024. In case of individual holidays, the booked lessons will be extended by the confirmed holiday period.
Public holidays on which the school is closed: 01.01.; 06.01.; 29.03.; 01.04.; 01.05.; 09.05.; 20.05.; 03.10.; 01.11.; 25.12.; 26.12.

During the operational holidays from 27/12/2024 to 29/12/2023, the school, administration and accommodation department will be closed. 

Which services are included?

Free services: Placement test, mid-term tests, WLAN, certificate of attendance, certificates from authorities, student card, placement of language tandems, orientation event.

Is VAT included in the course prices?

Most of the services provided by F+U are exempt from VAT

How much do the teaching materials cost?

In addition to the course fees, there are costs for textbooks. These can be purchased directly from the school office.

  • Online courses/online participation: 50-70 € per level for EBooks
  • Face-to-face courses/attendance: 35-70 € per level for hard copies/paper books

Is the school barrier-free?

The school has barrier-free access and barrier-free toilets.

What is a teaching hour?

A teaching unit (TH) is 45 minutes.

What levels are there?

The Common European Framework of Reference for Languages (CEFR) is the basis for all language courses offered by the Academy of Languages:

The Council of Europe's Common European Framework of Reference for Languages (CEFR) makes language acquisition and competence comparable in Europe. It has 6 levels:

What qualifications does my teacher have?

The courses are taught by experienced and highly qualified teachers.

Individual holiday

Regulations regarding holidays, public holidays, number of participants
Classes cancelled on public holidays will be made up at the end of the course. For planning reasons, the request for a make-up must be made in writing no later than 14:30 the day before the course.

At the request of the participants, we will also run the courses if the minimum number of participants of 6 is not reached: Reduction of lessons by 25% for 3-5 and by 50% for only one or two participants. To compensate, another group course can be taken. In exceptional cases, the maximum number of participants may be exceeded; participants are free to take another course at the same level.

Suspension of the language course (leave) - The participant has the possibility to request a suspension of the course within the booked course for a maximum of 2 course weeks per 12 weeks.

If the application is made and approved in good time, the booked course will be suspended for the period requested and the end of the course will be postponed to a later date calculated in accordance with the period requested. The deadlines for application are as follows, depending on the course:
a. Intensive courses: per course quarter (12 course weeks) a maximum of two course weeks (Monday - Friday); application at the latest by Thursday, 16:00, before "holiday start".
b. Evening courses: Application no later than 16:00 on the day of the course.
c. Individual lessons, closed small groups, company training: Cancellation free of charge is possible until 14:00 the day before at the latest. Appointments on Monday must be cancelled by
14:00 hrs on Saturday at the latest.

Withdrawal, cancellation, change of course

A change of course level or module must be applied for at the school secretary's office no later than Thursday at 16:00 for the following week.

Withdrawal and termination by the participant
The participant may withdraw from the contract up to three weeks before the start of the training measure. The date of receipt by the R+U is decisive for meeting the deadline. The notice of withdrawal or termination must be received in text form by the F+U administration office, Hauptstraße 1, 69117 Heidelberg.

If a letter of invitation has been issued by F+U for the German embassy, the following applies: If the visa is not issued, the F+U will guarantee the return of the payment minus any costs incurred, e.g. for postage (e.g. DHL), bank charges and an administrative fee of € 200. The course participant has the option of proving that F+U has incurred no loss or a loss less than the aforementioned fees. Rejection must be documented by an official notice and by presenting the original letter of invitation. Cancellation of the language course after receipt of the visa is only possible upon presentation of a document from the German embassy proving that entry into Germany has been waived. If the entry has already taken place, a cancellation of the language course is no longer possible (see 6.4.c and 6.8), for a room cancellation point 6.4.e applies.

When booking the service "provisional admission", the following applies: The service can only be booked in connection with an intensive course of at least 12 weeks. The participant undertakes to provide F+U with all documents necessary for the application to the university. The application process begins after full payment has been received and after all documents necessary for the application have been received. Cancellation of the language course after the application process has begun is only possible in the cases provided for by law, in the case of a waiver of entry to Germany and in the case of rejection of the application by the university. Notwithstanding the above, points 6.1-6.2 and 6.4.-6.9 apply. In the event of an effective cancellation, the participant undertakes a) to provide proof from the embassy that entry and is waived and b) to provide proof from the university that the place of study is waived.

The date of the start of the course is decisive for the withdrawal or cancellation deadlines of the courses as well as the accommodation, if booked. If the course is cancelled, the accommodation will also be cancelled automatically. In case of cancellation less than 3 weeks before the start of the course, the following cancellation fees will be charged:
a. Up to one week before the start of the course: € 145 for the course; € 180 for the accommodation.
b. Until Friday, 12:00 noon before the start of the course: the course fee for one week of the course; the rent for 2 weeks plus € 130 administration fee for accommodation; after this period but still before the start of the course:
the registration fee plus the course fee for two course weeks or, in the case of individual lessons, the course fee for two individual lessons; the rent for a fortnight plus € 130 administration fee
for accommodation.
c. After the start of the course, termination of the course and the services directly related to it is only possible in the cases provided for by law. The right to extraordinary
termination remains unaffected.
d. Even if the course is not taken, the full course fee must be paid.
e. After commencement of the rental period, the accommodation may be terminated subject to six full weeks' notice and the payment of a termination fee of € 150.
f. The course participant has the option of proving that the F+U has incurred no damage or less damage than the above-mentioned fees.

For external examinations (TestDaF, TELC, TOEFL®, TOEIC®, ECL, TestAS, OnDaF, IELTS, etc.), the cancellation and fee regulations of the respective licensors apply.

Transfer and other special services (see brochure p. 26) can be cancelled free of charge up to 3 days before the start of the service. After that, cancellation is only possible in the cases provided for by law.

The date of receipt by the R+U is decisive for all deadlines.

Should other cancellation deadlines apply due to funding measures or other legal regulations, these shall take precedence.

The above-mentioned reminder and cancellation fees shall not affect the course participant's right to prove that F+U has not incurred any damage or has incurred a significantly lower amount of damage.

Intensive courses for adults

Will my course take place with certainty?

Our group courses are guaranteed to take place: At the request of the participants, we will run the course even if the minimum number of participants of 6 is not reached: Lessons will be reduced by 25% if there are 3-5 participants and by 50% if there are only one or two participants.

Is there a registration fee?

After how many weeks will I have completed a level?

The time it takes to complete a level depends directly on the course you book. However, you should plan at least eight weeks per level.

Is there an age requirement?

The minimum age for junior courses is six years. 

You can join the group courses from the age of 16. We do not have an upper age limit.

What is a teaching hour?

A teaching unit (TH) is 45 minutes.

Which course is suitable for me?

There are different course formats The language courses are designed to prepare you for university studies or for your profession and lead to the acquisition of an international language diploma. 

We also offer individual counselling via e-mail, telephone or in person during our opening hours.

Are there trial lessons?

  • Intensive courses: Free trial lessons possible.
  • Evening course: Free trial lessons possible. Trial link
  • Private lessons: If you book one trial lesson, the registration fee is waived. This is only due from the second lesson booked.

How many participants are there in a class?

Individual courses

What languages can I learn?

Arabic, Brazilian, Bulgarian, Chinese, Croatian, Czech, Dutch, English, French, Georgian, German, Greek, Hungarian, Italian, Japanese, Polish, Portuguese, Romanian, Russian, Serbian, Spanish, Swedish, Turkish, Ukrainian (other languages on request).

When is there an additional charge on the course fee?

An additional fee is charged when:

  • Lessons are to take place outside of regular course times: 25%.
  • Exam preparation German 15% (TestDaF, telc, DSH), English 25% (TOEFL, IELTS)
  • In-house training: prices on request

Is there a trial lesson?

A trial lesson can be booked against payment of the regular course fee. However, the registration fee is waived. This is only due after the second lesson booked.

Can I change teachers?

Yes, the teacher can be changed. However, for planning reasons, this change must be announced 48 hours before the next lesson by sending an e-mail to sprachen.aol@fuu.de.

When will my lessons take place?

The regular class times are: Monday-Friday: 07:15- 20:00. Outside of regular class times, there is a 25%/UE surcharge.

When do I achieve a higher level?

According to the Common European Framework of Reference for Languages, this is In individual or duo lessons 80 UE/level

Can I postpone or cancel my appointment?

You can cancel your appointment free of charge in writing (sprachen.aol@fuu.de) no later than 14:00 on the previous working day. An alternative date can be arranged flexibly.

After the course has started, a cancellation of the course or a reduction of the lessons is only possible in the cases provided by law. Further information can be found in our terms and conditions.

Cancellation of the course is possible free of charge up to three weeks before the start of the course, after that the following cancellation fees will be charged: up to one week before the start of the course: € 100; up to Friday, 12:00 before the start of the course: € 150; after this period but still before the start of the course: the registration fee plus the course fee for two course weeks or one course month or, in the case of individual lessons, the course fee for two individual lessons. For which specializations are special language courses offered?

The schedule and content of the lessons are based on your expectations: A flexible course structure, an interactive course atmosphere is guaranteed. Business, medicine, nursing, hotel and tourism, gastronomy, IT, engineering, office communication, exam preparation and many other subjects.

What course formats are offered?

Face-to-face, online, in-house on request.

To participate in online classes, you will need a stable broadband internet connection, a computer, laptop or tablet, and a camera and headset. EEticipation with your smartphone is possible, but for teaching methodological reasons we recommend joining the course via cell phone only in case of emergency.

Is there a registration fee?

Yes, the registration fee is Registration fee: 60€, with 2 persons 40€/ p .P., from 3 persons 30€/ p. P. one time.

What does the course material cost

  • Online courses/online participation: 50€-70€ per level for e-books

Courses for groups

Which languages can I learn?

We offer group courses for eight people or more in German, English and up to 25 other foreign languages.

Is there catering?

We work with partner restaurants that are located directly in the vicinity of the language school.

Can we book cultural activities?

Yes, there is a choice of half-day or full-day excursions to Bad Wimpfen or Stuttgart to the Mercedes Benz Museum, boat trips on the Neckar, sports activities such as beach volleyball, bowling, climbing or mini-golf. 

If you have individual wishes, we will also be able to realise them.

Where will I stay?

Accommodation is possible in our residence halls and flats as well as in one of our host families.

Is there a registration fee?

Yes, we charge an administration fee per participant:in of 25€.

How many participants are in a group?

From eight participants. 

For smaller groups, we will make an individual offer on request.
 

Is the teaching material included?

The cost of the textbooks is €45 (German) or €75 (English) per participant.

What course formats are available?

We offer open group courses, individual tuition, educational leave and courses that are funded with an education voucher.

Is it possible to learn in closed groups?

Yes, we also offer this option, as individual solutions for business partners.

Is funding for the courses possible?

We offer courses that can be funded with an education voucher. The courses are certified according to the Accreditation and Approval Ordinance - Employment Promotion - AZAV. Duration 4 or 8 weeks.

Is there accreditation for educational leave?

The courses are accredited according to the educational leave laws of the states of Baden-Württemberg, Hesse and Rhineland-Palatinate. Duration
1 or 2 weeks.

Our accommodations

Our halls of residence and appartments

What different types of accommodation do you offer?

We offer many different types of accommodation: school-owned halls of residence and flats, hotels or host families. Please note that the location, size and facilities of the halls of residence vary depending on the category.

Arrival and departure

Arrival

You will receive an e-mail from us one to two weeks before your arrival with all the details about check-in, your accommodation and the handing over of the keys. Exceptions to this rule must be agreed with the accommodation team.

DeparturePlease arrange an appointment for your move-out with the accommodation department (at the latest on the Thursday before your last day).Check-out is on Saturdays before 12:00. The keys will be handed over after your room has been checked, directly to our staff member.

My arrival is delayed. What do I have to do?

If your arrival is delayed due to force majeure, you must expect that we may no longer be able to guarantee your booked room category or your residence guarantee. In this case, we reserve the right to offer you accommodation in another hall of residence and/or another hall of residence category.

In this case, we will fully refund the difference in price for a lower hall of residence category or the hall of residence guarantee sum, but no surcharge will be made for any upgrading that may be necessary! An exception to this rule is only possible if the rent for the booked room is paid from the time of the originally planned move-in.
 

The broadcasting contribution

In Germany, public broadcasting is paid for by the monthly contributions of every household, regardless of whether or not they have a television connection. In return, you have a choice of 20 TV channels, more than 60 radio stations and lots of digital offerings. Each room in the AOL residence hall is a separate household and is therefore liable to pay fees. The monthly fee is €18.36. Is there free wi-fi?

All of our halls of residence have free internet access. Please note that this is not a high-speed internet connection and that we do not accept any liability for technical faults, errors or failures. During the high season we rent additional rooms and flats. Information about their internet equipment is available on request.

What is available in the rooms?

We provide you with bed linen. Please bring your own towels.

Do I have to bring my own cooking utensils?

Cooking utensils, cutlery and crockery can be hired on request and subject to availability for a deposit of €40 and a service charge of €50. (Refund of deposit on return of complete and cleaned set.).

Where can I do my laundry?

Washing machines and dryers are available in our halls of residence. We do not accept any liability for the use of the machines. During the high season, we rent additional rooms and flats. Information on their equipment with washing machines and dryers is available on request.

Is there a cleaning service?

You are responsible for the cleanliness of your room, bathroom and kitchen. The cleaning service of the Academy of Languages cleans the common rooms twice a week.

What do I have to do if I want to extend my tenancy agreement?

Fee-free lease extensions must be applied for in the Accommodation Department four weeks before the end of the lease. For extension requests of less than 14 days to the end of the contract, we charge a processing fee of €50.

However, we do not guarantee the rental extension of a specific room as availability depends on the number of bookings. We do not reserve rooms until a binding booking has been made.

How do I cancel my rental contract?

After the start of the rental period, it is possible to terminate the accommodation by giving six full weeks' notice and paying a termination fee of € 150.

Can I change my accommodation?

Changes of accommodation from host family to residence or from residence to host family are possible with a notice period of two weeks after availability.

How do I get my deposit back?

After checking your room, you will receive a statement form. Please send a scan of the form with your bank details to rooms.hd@fuu.de so that we can transfer the deposit to you. Please note that it may take up to 20 business days for funds to reach your account. All bank fees for this transfer must be borne by the customer and will be deducted from the deposit.

How do I get from the airport to my accommodation?

Through partner companies, we organize transfers from all surrounding airports directly to the meeting point for key handover or to any other desired address in Heidelberg. We are happy to provide transport services within Heidelberg, for example from the main train station to the dormitory, for an additional charge. The transfers from the weekend meeting point to the dormitory are free and are organized by our weekend helpers.

I travel with my car. Where can I park?

Some of our halls of residence offer paid, but unmonitored parking spaces for weekly rental: just talk to us. There is also the option of free street parking. Please pay attention to the traffic and information signs on site to avoid fines. The school assumes no liability.


Our host families

What different accommodation options do I have?

The host families are located in different parts of Heidelberg and nearby suburbs. Depending on the category, the distance from the school varies: 2-30 minutes by public transport in category A, up to a maximum of 50 minutes in category B.

Arrival and departure

Move-in: Sundays from 11:00 a.m. to 6:00 p.m

Departure: Saturdays from 10:00 a.m. to 6:00 p.m. (outside these times for an additional charge of
35 € and only by arrangement). In case of delays, please contact your host family.

My arrival is delayed. What do i have to do?

If the start of your course is postponed - e.g. due to a delayed visa issue - we reserve the right to place you with another host family in the same category. Please let us and the host family know as early as possible if your arrival is delayed!

Is there free WiFi?

It is possible to book a guarantee for WiFi or use of the kitchen for a small additional charge. Please inform us about this in good time.

What is available in the rooms?

 The rooms are equipped with a bed, a wardrobe, a desk and a chair and are lockable. All rooms are non-smoking. Bed linen is provided once, towels are to be brought along!

Can I cook in the kitchen?

The kitchen can be used when booking without meals: 20% surcharge.

Where can I do my laundry?

A washing machine is available in every host family. To use the machine, please ask your host family. In some families the students do their own laundry, in others the host family does this.

Is there a cleaning service?

The host family is responsible for the basic cleaning of the kitchen and bathroom, as well as the cleaning of the guest room before arrival and after departure. However, the students should keep their rooms clean themselves. Cleaning supplies are provided.

What else we can take care of for you

University advice

We offer a university advice service for our learners at the school who intend to begin a degree course at a German university after their language course. The service includes checking documentation, orientation and help in the selection of suitable universities/subjects, correction of letters of motivation and the CV and assistance with applications.
Requirements: Higher education admission qualification in the learner’s home country. Please note: documents will be pre-checked. If documentation is insufficient or if there is little chance of a successful application, the service may be withheld.

Provisional admission

We offer university application support for learners who have booked an intensive course of at least 12 weeks at our school and require provisional university admission for their visa application. We check the application documents and assist with the preparation of application documents for up to two universities, correction of the letters of motivation/ CV and communication with the universities. The processing time for the individual universities can take up to ten weeks; this should be taken into account in the application process.
Admission requirement: Evidence of the higher education entrance qualification in the learner’s home country.

Support with official administration

We offer customers requiring a visa the following services after arrival: support in almost all official administration matters, convenient registration or re-registration at the town hall, advice and appointment scheduling for opening or activating a bank account, help with organising German health insurance, checking documents for the immigration authorities and general information on extending visas.
Requirement: Language course booking of at least 12 weeks.

À la carte courses

Parallel to our intensive courses, we organise various special courses in cooperation with local sports clubs, organisers and music schools.
Selected courses: Football, handball, table tennis, tennis, basketball, field hockey, ice hockey, rugby and other sports, as well as music lessons and floristry.
Please note that the practice sessions are invoiced separately. The fee depends on the number of hours booked and, moreover, on the type of activity.
For sports lessons, all that is normally required is a small monthly fee, payable to the sports club.

Cultural programme

Groups are accompanied by a member of school staff; unless otherwise indicated the fee includes only travel and personnel costs. The minimum number of participants for the events is 8 (half-day and full-day programme: 12). School classes participate in our general programme; separate activities are only organised for an additional fee. Details are available on request.
